Job Title: Store Operations Coordinator

Position Summary
The Store Operations Coordinator is responsible for supporting the day-to-day operational functions of the retail store to ensure the sales team can remain fully focused on delivering an exceptional customer experience. This role will oversee operational workflows including invoicing, order processing, shipping coordination, inventory support, and back-of-house organization.
By managing operational responsibilities away from the sales floor, the Store Operations Coordinator will help improve store presentation, reduce clutter at the cash wrap area, increase efficiency in after-sale processes, and improve turnaround times for customer orders and shipments.
Key Responsibilities
Canal Street Inbox Management
- Manage and monitor the Canal Street inbox daily.
- Respond to customer service inquiries in a timely and professional manner.
- Create and distribute return labels via phone and email.
- Invoice all email orders accurately and efficiently.
- Manage stylist and studio pull requests, including:
- Pulling product for requests.
- Removing product through appropriate policies and procedures.
- Coordinating pickups, returns, and follow-up communication where necessary.
Shipping & UPS Management
- Package and process all outgoing shipments.
- Manage and receive all incoming deliveries.
- Process customer returns and monitor shipping cost deductions from refunds.
- Coordinate and distribute return labels by phone and email.
- Ensure all paid invoices are fulfilled and shipped within 48 hours of payment.
Alterations Coordination
- Maintain and manage the alterations log.
- Audit the alterations log twice weekly for pickups and new additions.
- Coordinate outgoing alteration couriers on Mondays and Fridays.
- Manage incoming alteration couriers on Fridays.
- Contact customers upon receipt of completed alterations every Friday.
- Arrange and/or personally deliver off-cycle alterations as needed.
Phone & POS Order Management
- Monitor and manage incoming phone calls.
- Process invoicing for phone orders.
- Manage draft orders in the POS system to ensure timely fulfilment and shipping.
- Communicate with customers regarding order status and follow-up needs.
Store Supplies & Operational Support
- Monitor inventory levels for all operational and retail supplies, including:
- Retail and shipping bags/sleeves
- Garment bags
- Shipping envelopes and boxes
- Register supplies
- Bathroom and cleaning supplies
- Communicate replenishment needs twice weekly for warehouse transfers or vendor orders through Uline, Amazon, or other suppliers.
- Support operational workflow improvements and maintain organized back-of-house areas.
- Reduce operational clutter and maintain presentation standards around customer-facing areas.
Stock Maintenance & Inventory Support
- Maintain stock room cleanliness, organization, and efficiency.
- Conduct weekly tag sweeps by zone for retagging and stock accuracy.
- Receive shipments from warehousing and ensure all products are properly received and put away.
- Assist with inventory control procedures and stock movement documentation.
- Participate in inventory counts, audits, and operational accuracy initiatives.
Administrative & Team Support
- Work closely with retail sales staff and warehouse personnel to ensure seamless operations.
- Maintain operational documentation, logs, and filing systems.
- Support management with process improvements and operational reporting.
- Contribute to a positive, organized, and team-oriented work environment.
Qualifications
- Previous experience in retail operations, administration, logistics, inventory control, or order fulfilment preferred.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and follow-through.
- Ability to prioritize tasks in a fast-paced retail environment.
- Strong communication and teamwork skills.
- Comfortable using point-of-sale systems, invoicing software, and Microsoft Office or Google Workspace.
- Ability to lift and move products as needed.
