Job Summary:
National Law Firm is searching for a highly experienced Billing Manager to lead and optimize all aspects of legal billing operations. This is a senior-level opportunity for a subject matter expert with deep law firm experience, strong systems expertise, and a proven ability to partner with attorneys and leadership in a fast-paced, complex environment.
What You’ll Do:
- Oversee the full billing lifecycle, including prebills, edits, final invoices, write-ups/downs, and adjustments
- Manage sophisticated billing structures (hourly, AFAs, caps, blended rates, retainers, and fixed fees)
- Ensure compliance with client guidelines, outside counsel requirements, and e-billing standards
- Serve as the firm’s billing SME, establishing best practices, policies, and procedures
- Own and optimize billing systems (Finance Core, Coyote, Tabs), including maintenance, troubleshooting, and upgrades
- Partner with IT and finance leadership on system improvements and integrations
- Develop reporting and dashboards to track billing performance, realization, and revenue
- Collaborate directly with partners and senior attorneys on billing strategy, issue resolution, and client matters
- Support client audits, billing reviews, and complex inquiries
- Lead, mentor, and develop billing staff while ensuring quality control and adherence to deadlines
- Monitor financial metrics including realization, aged WIP, and billing accuracy
- Identify process improvements to enhance efficiency, reduce risk, and improve cash flow
- Support month-end and year-end close processes related to billing and revenue
What You Bring:
- 10 years of progressive law firm billing experience in complex environments
- Hands-on expertise with Finance Core, Coyote, and Tabs (required)
- Deep understanding of legal billing compliance, client guidelines, and revenue cycles
- Strong knowledge of law firm financial operations, including realization and matter economics
- Advanced proficiency in reporting tools, Excel, and financial analysis
- Proven leadership experience managing and developing billing teams
- Ability to effectively partner with attorneys, senior leadership, and cross-functional teams
- Exceptional attention to detail with the ability to manage competing priorities under tight deadlines
- Strong communication, problem-solving, and interpersonal skills
