Key Responsibilities:
The Rail Coordinator will be responsible for planning, scheduling, and tracking rail shipments to ensure timely and compliant delivery.
Rail Coordinator duties and
responsibilities will include the following. Other duties may be assigned:
- Assist in implementing rail strategies and operational plans.
- Provide regular updates and reports on shipment status, costs, and performance metrics.
- Coordinate railcar availability and routing with carriers (CN, UP, BNSF, CSXT, etc.).
- Align shipment schedules with project timelines and customer requirements.
- Monitor railcar movements and proactively address delays.
- Maintain accurate records of shipments, clearance approvals, and costs.
- Ensure adherence to clearance profiles, weight limits, and regulatory requirements.
- Prepare and review shipping documents and clearance requests.

- Act as a liaison between operations teams, rail providers, and project managers.
- Escalate issues to the Head of Rail and assist in resolving conflicts.
- Track detention costs, port charges, and other rail-related expenses.
- Support budgeting and cost optimization initiatives.
- Identify process gaps and propose solutions for efficiency and cost savings.
- Work constructively in a team-oriented environment to ensure customer requirements are met
- Responsible for file management and quotations
- Become fluent with deugro in-house operating systems, Accounting Systems, Tracking Systems, CargoWise, Exact
- Responsible for invoicing and for resolutions of claims and disputes in a timely manner
- Establish and ensure that the goals and policies of the company are met
- Take responsibility for Receivables, Payables, Profit Sharing, Forecasting, etc., for accounts under your management oversight
- Spend Management - The project coordinator in this role is responsible for the team’s timely posting of invoices. This is to include following up with operators to process their accruals and dispute timely
