Benefits Administration
Essential Duties & Responsibilities
- Provide administrative support for employee benefit programs including medical, dental, vision, life insurance, disability, voluntary benefits, and retirement plans.
- Serve as the primary point of contact for employee benefit questions and enrollment assistance.
- Coordinate new hire benefit enrollment, qualifying life events, and annual Open Enrollment.
- Partner with benefit vendors and brokers to resolve employee benefit issues.
- Assist with eligibility audits.
- Ensure timely processing of benefit changes and payroll deductions.
- Maintain accurate benefit records within the HRIS.
- Administer all employee leave programs including FMLA, ADA accommodations, pregnancy-related leave, Paid Family and Medical Leave (where applicable), personal leaves of absence, and military leave.
- Coordinate required documentation with employees and healthcare providers.
- Monitor leave eligibility, certification deadlines, intermittent leave usage, and return-to-work dates.
- Partner with managers to ensure compliance throughout the leave process.
- Maintain confidential leave documentation.
- Coordinate all work-related injury reporting.
- Serve as liaison between employees, managers, insurance carriers, and third-party administrators.
- Ensure timely completion of required workers' compensation documentation.
- Track claims, restrictions, return-to-work dates, and modified duty assignments.
- Monitor OSHA reporting requirements when applicable.
- Identify trends and recommend strategies to reduce workplace injuries.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Maintain compliance related to FMLA, ADA, HIPAA (where applicable), COBRA, ERISA, ACA, Workers' Compensation, Wage and Hour regulations, and Paid Leave laws.
- Assist with policy development and updates.
- Support internal audits and compliance initiatives.
- Maintain employee personnel files and required documentation.
- Assist with I-9 compliance and employment verification processes.
- Respond to employee questions regarding HR policies and procedures.
- Provide guidance to managers on employee matters.
- Support investigations involving employee concerns.
- Maintain confidentiality while addressing sensitive employee issues.
- Assist in resolving workplace concerns in partnership with HR leadership.
- Respond to Unemployment Claims
- Process employee changes including hires, transfers, promotions, compensation changes, and separations.
- Maintain employee records within the HRIS.
- Prepare HR reports and metrics.
- Assist with onboarding and offboarding activities.
- Support HR projects and continuous process improvement initiatives.
- Participate in HR training and employee engagement initiatives.
