Position Overview
We are seeking a detail-oriented Sales Administrator to support our sales organization by managing order processing, pricing administration, and key account support. The Sales Administrator will be responsible for ensuring accurate and timely sales operations, maintaining CRM and sales data integrity, producing sales reports, and coordinating cross-functional activities between sales, finance, and operations. This role requires strong Excel skills, excellent communication, and a customer-focused mindset.

Key Responsibilities

  • Process customer orders accurately and promptly from receipt through to order-to-cash completion, including entry, confirmations, and tracking.
  • Manage pricing and quoting activities, prepare and maintain price lists, and support CPQ or quoting tools as required.
  • Provide day-to-day sales support to account managers and key accounts, acting as primary administrative point of contact for order status, changes, and escalations.
  • Maintain CRM and sales data integrity (lead management, account records, contact details) and support CRM workflows and reporting.
  • Prepare and distribute sales reports, KPI tracking, and ad hoc analyses using Excel (pivot tables) and reporting tools such as Power BI or Tableau.
  • Coordinate invoicing, billing, and accounts receivable hand-offs with finance, and assist with dispute resolution and credit hold processes.
  • Support contract administration, proposal preparation, and document management including use of SharePoint and document control systems.
  • Liaise with internal teams (logistics, production, finance) and external partners (customers, brokers) to ensure timely fulfillment and EDI / billing system accuracy.
  • Manage calendars, meeting coordination, mail merges, and general sales administration tasks to keep the sales team organized and efficient.
  • Drive continuous improvement of sales admin processes, contribute to automation and workflow enhancements, and support ERP/CRM implementations (e.g., SAP, Oracle ERP, Salesforce).

Qualifications

  • Proven Experience in Sales Support or Sales Administration, 
  • ideally 2 years in a commercial or distribution environment supporting key accounts.
  • Solid understanding of pricing processes, order-to-cash lifecycle, invoicing and billing practices.
  • Excellent verbal and written communication skills with a customer-service orientation.
  • Experience with CRM systems and data management (Salesforce, Microsoft Dynamics, HubSpot preferred).
  • Familiarity with ERP and accounting systems (SAP, Oracle ERP, QuickBooks, Sage) and order/billing systems is an advantage.
  • Hands-on experience with quoting tools / CPQ, contract management, and proposal preparation is desirable.
  • Analytical mindset and ability to prepare sales reports and KPIs; familiarity with Power BI, Tableau or basic SQL is a plus.
  • Comfortable working with document management tools (SharePoint), EDI, and CRM workflows.
  • Organized, able to manage competing priorities, coordinate calendars, and support sales teams and brokers.
  • Experience in food manufacturing or candy sector and knowledge of broker-managed accounts is a strong plus.
