Position Overview
The Legal Receptionist serves as the first point of contact for clients and visitors, providing exceptional customer service and ensuring smooth operations within the law firm. Key Responsibilities
- Greet and welcome clients and visitors in a professional manner.
- Answer phone calls, take messages, and forward calls to the appropriate personnel.
- Schedule appointments and maintain the calendar for attorneys and other staff.
- Manage incoming and outgoing mail, emails, and faxes.
- Prepare and maintain client files and legal documents with attention to detail.
- Assist in the billing process by collecting payments and ensuring accurate record-keeping.
- Perform general administrative duties such as data entry, scanning, and filing.
- Coordinate office supplies and inventory management.
- High school diploma or equivalent; additional legal training or coursework is a plus.
- Proven experience as a receptionist or in a similar role, preferably in a legal environment.
- Strong communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook) and legal management software.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent organizational skills and attention to detail.
