Key Responsibilities:
- Welcoming Clients: Greet clients and visitors warmly as they arrive, ensuring they feel welcomed and attended to
- Phone Management: Answer, screen, and direct incoming calls; take messages and relay important information to staff
- Scheduling: Manage the calendar for the office, scheduling appointments and meetings for attorneys and legal staff
- Record Keeping: Maintain and update client records, ensuring all information is accurate and properly filed
- Administrative Support: Provide clerical support to the office, including preparing documents, data entry, and handling mail
- Office Supply Management: Oversee the inventory of office supplies and place orders as needed to maintain readiness
- General Maintenance: Ensure that the reception area is neat, organized, and presentable at all times
- High school diploma or equivalent required; associate degree or higher preferred
- Previous experience as a receptionist or in a similar administrative role is highly desirable
- Excellent verbal and written communication skills
- Strong organizational skills with the ability to multitask effectively
- Proficiency in using office equipment and Microsoft Office Suite (Word, Excel, Outlook)
- Ability to maintain a professional demeanor and handle sensitive information confidentially
