Grant and Asset Accountant

Position Overview
The Grant and Asset Accountant is responsible for accurate accounting and financial reporting for grant-funded programs and the organizations fixed assets. This role ensures GAAP-compliant accounting, grantor compliance, and effective asset stewardship by maintaining detailed grant records, preparing required grant and financial reports, managing fixed asset schedules, and supporting audits and budget processes. The accountant will collaborate with program managers and finance teams to safeguard restricted funds and sustain transparent financial controls.

Key Responsibilities
  • Manage full-cycle accounting for grants including recording revenues, expenses, accruals, and fund balances in accordance with GAAP and grant terms.
  • Prepare and submit grant billings, drawdowns, and periodic financial reports required by funders; ensure documentation supports allowable expenses and budget tracking.
  • Maintain and reconcile fixed asset registers, perform capitalization and disposals, calculate depreciation, and ensure assets are recorded and tracked accurately.
  • Perform month-end and year-end close activities for grant accounts and fixed assets, including reconciliations, variance analysis, and journal entries.
  • Support external and internal audits by preparing schedules, responding to auditor inquiries, and implementing corrective actions when needed.
  • Develop and maintain grant-specific budgets, forecasts, and cost allocations; work with program leads to monitor expenditures and support budget revisions.
  • Implement and monitor internal controls over grant expenditures and asset management to mitigate financial risks and ensure compliance.
  • Configure and maintain grant and asset modules in the organizations ERP or accounting systems (experience with Sage a plus); ensure data integrity and efficient workflows.
  • Produce timely GAAP-compliant financial statements, grant reports, and management summaries to inform leadership and stakeholders.
  • Provide training and guidance to program staff on grant financial policies, allowable costs, and asset capitalization policies.
  • Participate in grant proposal budgeting and pre-award financial reviews to assess cost allowability, indirect cost calculations, and funding terms.
Qualifications
  • Bachelors degree in Accounting, Finance, or related field; CPA or equivalent preferred.
  • 3 years of progressive accounting experience with demonstrated work in grant accounting and fixed asset management.
  • Strong knowledge of GAAP and experience applying GAAP to grant- and fund-based accounting.
  • Proven experience managing grants, including billings, compliance documentation, and funder reporting requirements.
  • Experience maintaining fixed asset ledgers, performing depreciation calculations, and managing capitalization thresholds.
  • Advanced Excel skills for analysis, reconciliations, and reporting; proficiency with ERP/accounting systems; experience with Sage is a plus.
  • Familiarity with nonprofit financial practices and funding from sources such as HRSA, SAMHSA, and Medicaid is highly desirable.
  • Experience with SAM (System for Award Management) registration processes and federal grant compliance is a plus.
  • Excellent attention to detail, analytical and problem-solving skills, strong organizational abilities, and effective communication for cross-functional collaboration.
