Accounting Assistant / Payroll Administrator – Job Description
Position Summary
We are seeking a detail-oriented Accounting Assistant / Payroll Administrator to support daily accounting operations and ensure accurate payroll processing. This role is responsible for accounts payable, accounts receivable, payroll administration, reconciliations, financial reporting support, and general accounting functions. The ideal candidate is organized, accurate, maintains confidentiality, and can manage multiple priorities while meeting deadlines.
Responsibilities
Accounts Payable
- Process vendor invoices, expense reports, employee reimbursements, and payments accurately and in a timely manner.
- Review invoices for accuracy, verify general ledger coding, and resolve discrepancies with vendors and internal departments.
- Process payments through check, ACH, EFT, wire transfer, credit card, and vendor portals.
- Maintain vendor records, payment terms, remittance information, and supporting documentation.
- Monitor due dates, recurring payments, and outstanding obligations.
- Communicate with vendors regarding payment status and assist with sales and use tax documentation.
Accounts Receivable
- Process customer invoices, cash receipts, and related transactions.
- Assist with billing, collections, customer account maintenance, and resolving account discrepancies.
- Maintain accurate customer records and support customer invoicing through email and online portals.
General Accounting
- Prepare and post journal entries and assist with account reconciliations, including bank and credit card accounts.
- Assist with monthly and year-end close processes, financial reports, audits, and special accounting projects.
- Analyze and resolve financial discrepancies while maintaining accurate records and supporting documentation.
- Apply accounting policies and procedures to ensure compliance.
Payroll Administration
- Process payroll accurately and on schedule, including timecard review, adjustments, deductions, wage changes, and employee updates.
- Maintain payroll records and supporting reports.
- Process payroll taxes, year-end reporting, and retirement/benefit-related deductions.
- Respond to employee payroll questions and coordinate payroll changes with Human Resources.
Requirements
- Two (2) years of experience in accounting, bookkeeping, payroll, or a related financial role.
- Knowledge of accounting principles and payroll practices.
- Proficiency in Microsoft Office, especially Excel.
- Experience with accounting and payroll software preferred.
- Strong attention to detail, organization, and time management skills.
- Ability to analyze discrepancies, prioritize tasks, work independently, and meet deadlines.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality of financial and employee information.
- Associate’s or bachelor’s degree in Accounting, Finance, or related field preferred but not required.
Working Relationships
- Reports to the Accounting Manager or Director of Operations
- Collaborates with Human Resources, vendors, customers, and internal departments.
