Executive Assistant (Secretary II)
This position reports to the Campus Director and is an hourly, non-exempt role.

Position Overview
The Executive Assistant provides high-level administrative and clerical support to the Campus Director. This role ensures the efficient operation of the Director’s office through organization, communication, scheduling, and coordination of daily activities.
You will manage sensitive information, support center operations, and serve as a key point of contact for internal and external communication.

Core Responsibilities
• Provides administrative support to the Campus Director, including calendar management, scheduling, and coordination of daily activities
• Prepares business correspondence, reports, and documents using standard office software
• Composes routine correspondence for review and signature
• Maintains organized and confidential files and records
• Attends meetings, takes notes, and prepares summaries or reports as needed
• Coordinates meetings, conferences, and travel arrangements
• Assists with planning and preparation for special events and center functions
• Manages incoming calls, emails, and messages, directing or responding as appropriate
• Ensures accuracy by proofreading documents for grammar, spelling, and formatting
• Orders and maintains office supplies and equipment
• Supports system organization and basic data management practices
• Assists in training new clerical staff as needed
• Maintains a professional office environment and ensures equipment and materials are properly handled
• Attends required training sessions
• Performs other duties as assigned
Qualifications
• High school diploma or equivalent required
• Associate degree in business or related field preferred
• Minimum of three years of administrative or clerical experience preferred
• Valid driver’s license with acceptable driving record preferred
Additional Requirements
• Ability to work independently and manage tasks without constant supervision
• Strong typing and computer skills
• Proficiency in Microsoft Office applications, including Word and Excel
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• Strong attention to detail and accuracy
• Ability to maintain confidentiality and exercise discretion
• Knowledge of standard office procedures and practices
