TITLE: Executive Assistant (Part-Time)
DEPARTMENT: Executive
REPORTS TO: President/CEO
WORK SCHEDULE: Part-time, 20–25 hours per week
COMPENSATION: Commensurate with experience
POSITION SUMMARY
Provides executive-level administrative support to the President/CEO. Maintains contacts, schedules, and correspondence for the President/CEO. Attends assigned committee meetings and prepares accurate meeting minutes.
KEY ROLES (Essential Job Responsibilities)
- Performs advanced administrative duties including preparing correspondence, reports, and documents as requested by the President/CEO; drafts letters following established formats.
- Proofreads and reviews all materials for accuracy prior to supervisory review and signature.
- Coordinates travel arrangements, prepares itineraries, manages logistics, and submits expense reports.
- Manages the President/CEO’s calendar, schedules meetings, and maintains contacts using Microsoft Outlook.
- Manages the flow of information to ensure timely and accurate communication.
- Attends assigned committee meetings; prepares meeting notices, agendas, and minutes; and coordinates catering or meeting logistics when necessary.
- Updates organizational letterhead and templates, prepares presentations, and assists with annual reporting.
- Maintains strict confidentiality of highly sensitive and proprietary information.
- Manages complex administrative tasks requiring independent judgment, discretion, and initiative.
- Performs other related duties and responsibilities as needed or assigned.
EDUCATION / SKILLS / KNOWLEDGE REQUIRED
- Associate’s degree required; Bachelor’s degree preferred in a related field from an accredited college or university. Professional administrative certification is a plus.
- Minimum of five (5) years of executive-level administrative support experience.
- Excellent verbal and written communication skills with the ability to draft professional correspondence.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Experience with Adobe Acrobat and social media/web platforms preferred.
- Strong attention to detail and high level of accuracy.
- Excellent interpersonal skills and the ability to build and maintain relationships with key stakeholders.
PHYSICAL REQUIREMENTS / WORK ENVIRONMENT
Physical Requirements:
Ability to clearly and effectively exchange ideas, facts, and technical information with others. The employee must frequently use hands to handle or operate office equipment and reach with hands and arms. The employee may occasionally stand and walk. The employee may occasionally lift and/or move up to ten (10) pounds. Occasional use of a motor vehicle may be required.
Work Environment:
Normal office environment.
