Job Description:
The Administrative Assistant / Office Coordinator is responsible for supporting the day-to-day operations of a busy office by providing administrative assistance, coordinating communication, organizing documentation, and assisting multiple departments. This role plays an essential part in ensuring efficient office operations while delivering outstanding service to customers, vendors, and internal team members.
Job Duties:
- Answer and direct incoming phone calls, emails, and general office inquiries
- Coordinate calendars, appointments, meetings, and follow-up communications
- Prepare, organize, scan, and maintain electronic and paper files
- Assist with data entry, spreadsheets, reports, and business correspondence
- Support customer and vendor communications with professionalism
- Process invoices, purchase orders, shipping documents, and other office paperwork as needed
- Coordinate with accounting, operations, sales, and management on administrative tasks
- Maintain office supplies, equipment, and general office organization
- Track orders, shipments, and documentation when applicable
- Assist with special projects and additional administrative duties as assigned
Requirements:
- High School Diploma or GED required
- Minimum 2 years of administrative, office support, or customer service experience preferred
- Strong Microsoft Office skills, including Outlook, Word, and Excel
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- High attention to detail and accuracy
- Ability to work independently and in a team environment
- Experience with QuickBooks, CRM, ERP, or other business software is a plus
- Manufacturing, distribution, logistics, or small business experience is preferred but not required
