Job Title: Administrative Assistant Position: Full-time (35 hours per week)
Job Summary: Assist the elderly and people with disabilities with their financial questions and requests. Provide administrative support to other office employees. Direct calls and requests from the Courts, lawyers, Social Security, DHS Adult & People with Disabilities and other Federal and/or State agencies to the appropriate employees.
Responsibilities:
- Responsible for the duties of the front desk. Answer the multiple line (4) telephone system and greet customers that walk in. Ensure the front desk and telephones are always covered. Maintain phone log.
- Keep accurate records on all Social Security Rep Payee clients. All status changes need to be made immediately, address, wages, marital, etc.
- Maintain office filing and storage systems. Accurately file all client paperwork daily.
- Maintain accurate and complete files on all clients. Include a manila file folder for all separate categories, including but not limited to: a bank file for each bank account, personal file, Social Security file, medical file, paid bills file, check stub file,
Conservatorship, Guardianship, ICT or SNT if applicable and separate files for all real property.
- Operate office equipment (copy, fax and scanning machines).
- Type documents, reports and correspondence.
- Receive and distribute phone and email messages.
- Receive, sort and distribute incoming mail.
- Prepare outgoing mail for distribution.
- Update and maintain databases such as mailing lists, contact lists and client information.
- Contact vendors and agencies on behalf of clients and Coos Elderly Services.
- Assist with event planning and implementation.
- Perform work related errands as requested, such as going to the post office and bank.
- Keep office area clean and tidy.
- Retrieve information when requested.
- Monitor and maintain office supplies.
- Ensure office equipment is properly maintained and serviced.
- Other duties as assigned.
- Support and enhance the values and mission of Coos Elderly Services.
Required Qualifications:
- High school graduate.
- Demonstrate organizational skills.
- Keyboard, Microsoft Word, Excel, PowerPoint, and data base basics.
- Written and verbal communication skills.
- Basic math skills.
- Professional appearance and conduct.
- Patience and tactfulness; ability to work cooperatively with a wide variety of individuals, including people with significant physical and mental impairments and varying socioeconomic backgrounds.
- Ability to work within a team environment.
- Provide own transportation.
- Valid Oregon Driver License.
- Pass drug test and criminal background check.
Preferred Qualifications:
- Associate degree in relevant field.
- General knowledge of household budgeting and daily money management.
- One year of experience working with seniors and people with disabilities.
