Job Responsibilities
- Client Onboarding: Direct the full intake process, including distributing and tracking forms, verifying information, and ensuring accounts are properly transferred and funded
- Account Management: Open new brokerage accounts, 529 plans, and annuities; set up online portal access and confirm delivery of all regulatory notices
- Service & Support: Coordinate beneficiary updates, address changes, and asset movements; troubleshoot client portal issues and manage all service items to completion
- Technical Operations: Maintain and update client data within CRM and portfolio systems; work directly with custodians, broker-dealers, and insurance carriers to resolve complex issues
- Practice Optimization: Implement and document office procedures; oversee client billing reconciliation and ensure billing accuracy with the broker-dealer
- Compliance Support: Manage advisor licensing and registration processes and serve as the primary point of contact for broker-dealer audits
- Advisory Partnership: Partner closely with advisors to ensure timely follow-ups and provide administrative backup as needed to maintain high service standards
Education
- Bachelor's degree preferred, ideally in Finance or a related business field
- Minimum of three (3) to five (5) years of RIA or broker-dealer operations experience within a financial advisory practice
- Proven experience in account opening, asset transfers, and distribution processing
- Experience working in a small-office environment is highly preferred
- Fintech Proficiency: Familiarity with platforms such as Wealthscape, Redtail, eMoney, PreciseFP, and Albridge is ideal
- Technical: Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe PDF editing tools
