Procurement Analyst

Job Summary

We are seeking a detail-oriented and analytical Procurement Analyst / Vendor Operations Specialist to support vendor engagement, procurement workflows, and asset collection processes. This role is responsible for managing vendor communications, tracking deliverables, and ensuring the timely receipt of required materials and documentation.

A key component of this position is leveraging Excel and data tracking tools to monitor vendor activity, maintain accurate records, and provide visibility into workflow progress and performance.

Key Responsibilities

• Manage and maintain vendor relationships for ongoing communication and coordination
• Execute and track vendor outreach campaigns to collect required assets, documentation, and information
• Build and maintain Excel trackers to monitor vendor outreach, response rates, and deliverables
• Analyze data in Excel to identify gaps, delays, and follow-up priorities
• Create and update reports, status trackers, and dashboards for internal stakeholders
• Perform structured and consistent follow-ups with vendors to drive response rates and meet deadlines
• Escalate delays or issues based on data insights and tracking
• Review incoming materials for accuracy, completeness, and compliance
• Maintain and update vendor databases and workflow systems
• Assist with purchase order tracking and procurement documentation
• Identify opportunities to improve processes through better tracking, reporting, and data visibility

Qualifications

• 2–5 years of experience in procurement, vendor coordination, operations, or administrative roles
• Strong proficiency in Microsoft Excel, including:
• Pivot tables
• VLOOKUP/XLOOKUP
• Data filtering and sorting
• Basic formulas and data analysis
• Experience managing or maintaining trackers, reports, or datasets
• Excellent organizational and time management skills
• Strong written communication skills (frequent vendor email interaction)
• High attention to detail and accuracy
