Job Overview
A commercial painting contractor, with over 45 years in the industry, is seeking a highly organized, detail-oriented Office Administrator to join our team. The ideal candidate will be a self-starter with excellent communication skills with the ability to work independently and effectively manage multiple priorities.
Responsibilities
- Manage day-to-day office operations, including answering and directing phone calls, welcoming visitors and vendors, managing correspondence and proposals, managing incoming, outgoing mail, and maintaining office and shop supplies.
- Prepare and edit documents, reports and presentations.
- Perform bookkeeping and basic accounting - Accounts Payable & Receivables - Bank Account Reconciliation
- Process payroll - Paychex
- Maintain accurate and organized filing systems (both digital and physical)
- Assist with human resources tasks such as payroll processing and employee onboarding.
- Manage office equipment by troubleshooting, calling for and expediting repairs
- Manage HR, onboarding processes and benefit enrolment for new employees
- Manage operation of company vehicles
- Manage confidential information with discretion
Qualifications
- High school diploma (or equivalent) required: associate or bachelor's degree preferred
- 4 years of experience in office administration or related field
- Proficient in Microsoft Office Suite 365 (Word, Excel, Outlook)
- Proficient in Intuit QuickBooks
- Strong written and verbal communication skills - professional and courteous
- Exceptional organizational and multitasking abilities
- Knowledge of clerical duties such as filing, calendar management, and phone etiquette.
- Ability to work well independently and as part of a team
- Bilingual in Spanish is a plus
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 40 per week
