What are the responsibilities and job description for the Bookkeeper (QuickBooks Specialist) position at Confidential?
Job Summary
We are seeking an experienced, detail-oriented Full-Time Bookkeeper to manage our daily financial operations. The ideal candidate possesses an understanding of Generally Accepted Accounting Principles (GAAP) and advanced hands-on proficiency with QuickBooks Online (QBO) to pull, configure, and manage all core financial reporting. Additionally, the candidate must have strong MS Excel skills, utilized primarily as a utility tool to clean, format, and prepare external data logs for bulk import into QBO. You will be responsible for ensuring the absolute integrity of our ledger, maintaining pristine reconciliations, and preparing our books for smooth month-end closes.
Core Responsibilities
- Daily Ledger Management: Record, verify, and properly categorize all financial transactions within QuickBooks Online in accordance with GAAP.
- QBO Reporting & Analysis: Configure, generate, and maintain all primary financial reports—including Profit & Loss, Balance Sheets, and Statement of Cash Flows—directly within QuickBooks Online for management review.
- Data Import Preparation (Excel): Utilize MS Excel to audit, clean, and format external data files, ensuring they integrate into QBO cleanly without duplicating data or corrupting the ledger.
- Reconciliations: Execute monthly bank and credit card reconciliations within QBO, systematically troubleshooting any ledger discrepancies.
- A/R and A/P Cycles: Oversee accounts receivable (invoicing, tracking payments, matching bank feeds) and accounts payable (vendor bills, payment schedules).
- Payroll Processing: Ensure external payroll journal entries and payroll tax statements are accurately recorded in QBO.
- Month-End Close: Maintain data integrity to successfully close the books monthly inside QBO, ensuring all sub-ledgers tie out to the main financial statements.
- Year-End Support: Assist our external CPA during tax seasons by compiling clean financial files.
Qualifications & Requirements
- Experience: Minimum 2–4 years of dedicated bookkeeping or corporate accounting experience.
- Software Mastery: Advanced, day-to-day experience navigating QuickBooks Online (QBO) is mandatory, specifically with configuring custom reporting dashboards. (A QuickBooks Certified ProAdvisor designation is a plus)
- Excel & Data Import Skills: Strong MS Excel skills (e.g., data text-to-columns, filtering, sorting, basic formulas) explicitly used for data hygiene, file conversion, and formatting external data prior to running QBO imports.
- Accounting Knowledge: A firm, demonstrable understanding of accrual-basis accounting, GAAP rules, matching principles, and double-entry bookkeeping.
- Attention to Detail: Exceptional data-accuracy skills; an ability to spot formatting issues, missing fields, or misaligned entries in Excel files before attempting a QBO import.
