Job Summary
We are seeking a detail-oriented and proactive Bookkeeper / Administrative Assistant to join our dynamic team. This role combines essential bookkeeping responsibilities with administrative support to ensure smooth financial operations and office workflows. Responsibilities
- Manage incoming calls and visitors with professionalism and courtesy.
- Manage and maintain accurate financial records using accounting software such as QuickBooks (Desktop & Online).
- Perform bank reconciliations, account analysis, and general ledger reconciliation to ensure financial accuracy and compliance with GAAP (Generally Accepted Accounting Principles).
- Process accounts payable and receivable transactions, including invoice entry, payment processing, and vendor communications.
- Prepare journal entries, conduct balance sheet reconciliation, and ensure proper debits & credits are recorded in accordance with double-entry bookkeeping standards.
- Assist with payroll processing, tax filings, and governmental accounting requirements as needed.
- Support budgeting activities by tracking expenses and preparing financial reports; contribute to financial report writing for internal review or external audits.
- Provide administrative support such as managing correspondence, scheduling appointments, maintaining filing systems, and performing 10 key typing tasks efficiently.
- Printing, filing, shredding, sending faxes.
Skills
- Must be a self-starter.
- Proficiency in QuickBooks (Desktop & Online) and Microsoft Office (Word, Excel, ect).
- Strong understanding of corporate accounting principles, non-profit accounting practices, and governmental accounting standards.
- Experience with account reconciliation, bank reconciliation, general ledger accounting, and journal entries.
- Knowledge of GAAP guidelines and technical accounting concepts related to double-entry bookkeeping.
- Ability to perform accounts payable/receivable functions accurately while adhering to deadlines.
- Familiarity with payroll processing and tax experience related to financial compliance.
- Excellent organizational skills with the ability to handle multiple tasks such as budgeting, account analysis, and financial report writing efficiently.
- Strong attention to detail in account analysis and general ledger reconciliation; capable of working independently or collaboratively within a team environment.
