The Administrative Assistant supports the Economic Development Division with daily operations, customer service, document processing, event coordination, and partner communications. This role is ideal for someone organized, proactive, and comfortable managing a wide variety of tasks in a fast‐paced environment.
Key Responsibilities
- Manage division phone lines, housing inquiries, and shared email inbox
- Process invoices, P‐Cards, purchase orders, and assist with basic budget tracking
- Support timecard entry and administrative workflows
- Prepare and distribute mass mailings and email communications
- Schedule meetings and coordinate Zoom sessions
- Update website content (dining/business sections)
- Order supplies, promotional items, printed materials, and event materials
- Route documents through DocuSign
- Submit maintenance and Helpdesk requests
- Coordinate partner events, business clinics, and small‐business programs
- Assist with Economic Development events (3 annually)
- Compile annual Top 10 Employers data
- Provide general office support: mail, copying, proofreading, public counter assistance
- Support special projects and other duties as assigned
Minimum Qualifications
- High school diploma or equivalent
- Two years of clerical or administrative experience
- Valid CA Class C driver’s license
- Strong communication, organization, and customer service skills
- Proficiency with standard office software (Word, Excel, databases)
- Ability to type 50 wpm
