Administrative Assistant – Construction Office
Location: Kawaihae, Big Island
Job Type: Part-Time (2-3 days weekly to start)
Position Summary
We are seeking a reliable and organized Administrative Assistant to support daily operations of our construction office. This role provides administrative, clerical, and coordination support to project managers, field staff, and leadership. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced construction environment.
Key Responsibilities
· Answer phones, greet visitors, and manage general office communications
· Provide administrative support to all projects and office operations
· Maintain project files (electronic and hard copy) and document logs
· Track certificates of insurance, licenses, and compliance documents
· Assist with invoicing, timecards, and basic data entry
· Order office supplies and coordinate equipment or service requests
· Schedule meetings, inspections, and deliveries
· Support project closeout documentation and archiving
· Assist with distributing submittals, RFIs, permits, and project documentation as requested
· Support contract and subcontract paperwork preparation and routing
· Prepare and distribute correspondence, reports, and meeting minutes
Qualifications
· 2 years administrative or office support experience (construction industry preferred)
· Proficiency in Microsoft Office (Word, Excel, Outlook)
· Strong organizational and multitasking skills
· Excellent written and verbal communication
· High attention to detail and accuracy
· Ability to prioritize tasks and meet deadlines
· Professional and dependable work ethic
Preferred Skills
· Experience in a construction or trade contractor office
· Familiarity with construction terminology and documents (RFIs, submittals, change orders)
· Experience with Google Doc’s/Drive, Bluebeam, Adobe, or similar software
· Basic bookkeeping or project accounting support experience
Work Environment
· Office-based construction company environment
· Interaction with field staff, subcontractors, and clients
· Fast-paced with multiple active projects
