We are seeking a highly resilient and self-driven Executive Assistant to support senior leaders within a prestigious private investment firm. This role requires exceptional emotional intelligence, discretion, and the ability to navigate high-stakes situations with confidence and composure. You will serve as a trusted partner with light Chief of Staff responsibilities.
Key Responsibilities:
- Manage communications, calendars, and priorities for Managing Directors and senior leaders within the Private Investment group.
- Act as a strategic partner with light Chief of Staff duties, including coordinating cross-functional projects, tracking key initiatives, and ensuring follow-through on priorities.
- Serve as travel agent and coordinator, managing all aspects of complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Handle confidential and sensitive matters with discretion and maturity.
- Organize and monitor all email correspondence, calls, and stakeholder interactions.
- Coordinate meetings and logistics with precision and foresight.
- Prepare materials for meetings, presentations, and internal communications.
- Process and submit expense reports in a timely manner.
- Build strong relationships across teams and with external partners.
- Facilitate activities associated with board memberships and external organizations.
- Adapt quickly to changing priorities and support team initiatives.
Qualifications:
- Minimum 5 years providing senior executive-level administrative support.
- Bachelor's degree preferred.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience coordinating complex travel arrangements and serving as a travel coordinator.
- Superior written and oral communication skills with strong attention to detail.
- Proven ability to handle sensitive information with tact and discretion.
- Calm under pressure with flexibility to work with various leadership styles.
- Ability to work on-site five days a week.
Salary : $50 - $60
