Responsibilities
- Manage the executives calendar, scheduling and coordinating meetings, while considering the time zones of a global organization. Adapt quickly to last-minute changes and reprioritization.
- Plan and book travel arrangements, optimizing itineraries. Collaborate with the Chief of Staff to put together comprehensive packets for business trips anticipating and addressing potential challenges in advance.
- From time to time, represent the executive in meetings, taking notes and summarizing key points when required.
- Act as a gatekeeper for the executives schedule, controlling access and ensuring that the executives time is optimized.
- Craft and distribute agendas and other documents for meeting participants and executive team leaders when necessary.
- Exercise sound judgment and tone when managing requests and inquiries internally and externally.
- Be quickly responsive and available during nights and weekends as needed to address urgent matters and ensure the executives schedule runs smoothly.
Qualifications
- Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Communication skills, written/verbal
- Ability to prioritize and meet deadlines and keep information confidential
Salary : $35 - $45
