What You'll Do
As a Service Coordinator, you'll play a key role in supporting daily service operations, including customer communication, administrative coordination, and service workflow management.
Responsibilities include:
- Deliver outstanding customer service through professional and timely communication
- Assist with incoming branch phone calls and customer inquiries
- Coordinate with the Service Dispatcher to prioritize service requests and maximize technician efficiency
- Open, update, and manage service calls within the ERP system
- Upload documentation, maintain service records, and ensure data accuracy
- Review and audit closed service work orders, identifying and resolving outstanding issues
- Manage prepaid customer reports, collections follow-up, and related account actions
- Support accounts receivable efforts, including collection activities and purchase order management
- Receive, organize, and stage parts for preventative maintenance and repair work
- Investigate and resolve Preventative Maintenance Agreement (PMA) discrepancies and customer concerns
- Monitor and follow up on open quotes and service opportunities
- Process Generac startup registrations (where applicable)
- Coordinate shipment of oil samples and related documentation
- Assist the Branch Operations Manager with administrative and operational initiatives
- Serve as a backup for service scheduling and dispatch functions when needed
- Support continuous improvement efforts that enhance customer satisfaction and operational performance
