ABOUT THIS POSITION

The Street Transportation Department Design and Construction Management (DCM) division is seeking a motivated, detailed, and customer service-oriented Secretary III to perform responsible administrative and varied clerical work and provide administrative support for our division's professional staff, section managers, and executive-level staff. DCM oversees City-funded projects in the right-of-way, including streets, bridges, storm drains, sidewalks, and landscaping. It manages all project phases, from pre-design to construction administration, and provides survey, geotechnical, and materials testing services. DCM handles transportation planning and programming, active transportation and micromobility programs, federal aid and grant compliance, interagency coordination, and the department's Capital Improvement Program (CIP). Additionally, it ensures compliance with the Americans with Disabilities Act (ADA) in the right-of-way.
Primary duties of this position involve a variety of support functions for all levels of staff and providing back-up support for other DCM administrative staff.
Additional specific duties involve:
- Maintaining calendar activity.
- Drafting, finalizing, and distributing correspondence (via email or hardcopy).
- Creating reports.
- Preparing agendas for meetings.
- Maintaining City Records Management Guidelines and other records management regulations.
- Creating and maintaining existing databases.
- Processing HR and Fiscal transactions.
- Ordering supplies.
- Providing customer service in person, over the phone, or electronically.
- Creating, revising, and maintaining standard operating procedures for position duties.
- Considerable judgment and independent action are exercised in establishing or adapting work procedures to new situations.
- Work is normally reviewed only for results obtained.
IDEAL CANDIDATE
- Excellent customer service skills.
- Proficiency in using Microsoft Office applications in Word, Excel, and PowerPoint.
- Knowledge of computer database applications and the ability to maintain information.
- Ability to learn quickly, multitask well, prioritize effectively, work independently to support professional staff, section managers, and executive level staff with effective communication skills.
SALARY
Pay Range: $19.07 to $29.58 per hour.
Hiring Range: $19.07 to $26.83 per hour.

MINIMUM QUALIFICATIONS
- Three years of progressively responsible secretarial experience,
- Including training in typing and the use of modern office software and equipment.
- Other combinations of experience and education which meet the minimum requirements may be substituted.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage. PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:

Experience in/with the following:
- As a receptionist.
- Answering multiple-line phones.
- Scheduling meetings or trainings using Outlook Scheduling / Calendaring.
- Experience tracking and researching expenditures, invoices, or similar.
- Highly detailed data entry and record keeping.
- Using Adobe Acrobat Pro.
- Developing outreach and educational materials.
- Creating and writing reports and documents, such as standard operating procedures.
- Research and computer skills using Microsoft Office programs.
- Using financial procurement systems, such as SAP/SRM.
- Providing support to multiple staff and having excellent prioritization skills.
- Managing emails, routing documents, and maintaining calendars.
- Ordering supplies.
- Notary, desired but not required.
