The Fire Department Training Division seeks an Administrative Aide to provide exceptional customer service and administrative support to the Command Training Center.

Essential functions of the position include and are not limited to:

  • Research requests and respond in person, by telephone, and in writing.
  • Navigate and manage department and facility calendars.
  • Telestaff entry for staff leave, City Business, and overtime.
  • Assign and track training in PHXYou (LMS).
  • Purchase and eProcurement duties in SAP/SRM.
  • Schedule meetings and taking minutes.
  • Data entry and record management.
  • Assist with Company Activity Calendar.
  • Operate technology such as iPads for Training and Audio/Visual systems in the classrooms.
  • Assist in developing training materials such as presentations, photos, and videos.

In addition, every member of the organization must comply with all citywide, Fire Department, and Technical Services Division regulations, policies, and procedures.

IDEAL CANDIDATE

  • Strong knowledge of public administration principles and office management practices.
  • Demonstrates superior customer service, integrity, commitment to innovation, efficiency, and fiscally responsible.
  • Willingness and ability to learn new video and photo editing tools related to fire simulation and training software.

SALARY

Pay Range: $20.51 to $35.08 per hour.

Hiring Range: $20.51 to $31.82 per hour.

Pay Range Explanation

  • Pay range is the entire compensation range for the position classification.
  • Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.
  • Promotions occur when the last two digits of the pay grade increase.
  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

Minimum Qualifications

  • Four years of experience performing clerical duties.
  • OR Bachelor's degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.
  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

Preferred Qualifications

The minimum qualifications listed above, plus experience in/with:

  • Data entry and record keeping.
  • Microsoft Office, including Word, Outlook, and Excel.
    • Scheduling and calendaring (Ex. Kronos Telestaff, Outlook, etc.)
    • Microsoft Excel, including data entry, formatting, and basic analysis.
  • SAP/SRM system purchasing.
  • Tracking and managing training records.
  • Developing training materials.
  • Audio/Visual/iPad experience.
  • Familiar with Adobe Creative Suite, specifically photo, video, and PDF editing.
