About the Position
Coordinates and supports a variety of projects for the Public Works Department as assigned.

Position Functions

Job Duties and Responsibilities


  • Prepares contract documents, processes contract amendments and purchase orders, tracks documents through the approval process
  • Prepares accurate and complete Council resolutions and other official documents
  • Coordinates bidding activities
  • Recommends and implements departmental electronic file structures and document storage practices
  • Tracks and updates project status including monitoring budget, expenditures, and change orders for multiple projects using project management software
  • Prepares and maintains project schedules; communicates project information; attends project meetings as assigned
  • Develops and maintains project and/or operations dashboards
  • Creates templates to report various project and/or operations schedule milestones, cost information and scope deliverables
  • Assists with the utilization of new technology and software, identifies and recommends process improvements, and coordinates and facilitates training
  • Tracks and facilitates review and processing of pay applications/invoices
  • Coordinates public meetings and other events; assists with the planning and preparation of public communications
  • Reviews and proposes updates to Public Works’ SOPs and templates
  • Prepares project award applications; collects and provides appropriate documentation
  • Monitors and tracks required insurance documents
  • Performs related work as required

Qualifications

Required Education and Experience

  • At least two years of relevant college-level course work or an Associate’s degree from an accredited college or university in construction, project management or a related field and 3 to 5 years’ experience in program/project/event coordination and management, and/or process improvement;
OR,
  • An equivalent combination of education and/or experience (i.e., one year of relevant experience may substitute for one year of education)
  • Excellent written, verbal, and interpersonal communication skills
  • Proficiency with Microsoft Office and Microsoft 365
  • Ability to work collaboratively with diverse populations

Work Schedule

  • Monday-Friday 7:30am-4:30pm
