Position Functions
Job Duties and Responsibilities
- Prepares contract documents, processes contract amendments and purchase orders, tracks documents through the approval process
- Prepares accurate and complete Council resolutions and other official documents
- Coordinates bidding activities
- Recommends and implements departmental electronic file structures and document storage practices
- Tracks and updates project status including monitoring budget, expenditures, and change orders for multiple projects using project management software
- Prepares and maintains project schedules; communicates project information; attends project meetings as assigned
- Develops and maintains project and/or operations dashboards
- Creates templates to report various project and/or operations schedule milestones, cost information and scope deliverables
- Assists with the utilization of new technology and software, identifies and recommends process improvements, and coordinates and facilitates training
- Tracks and facilitates review and processing of pay applications/invoices
- Coordinates public meetings and other events; assists with the planning and preparation of public communications
- Reviews and proposes updates to Public Works’ SOPs and templates
- Prepares project award applications; collects and provides appropriate documentation
- Monitors and tracks required insurance documents
- Performs related work as required
Qualifications
Required Education and Experience
- At least two years of relevant college-level course work or an Associate’s degree from an accredited college or university in construction, project management or a related field and 3 to 5 years’ experience in program/project/event coordination and management, and/or process improvement;
- An equivalent combination of education and/or experience (i.e., one year of relevant experience may substitute for one year of education)
- Excellent written, verbal, and interpersonal communication skills
- Proficiency with Microsoft Office and Microsoft 365
- Ability to work collaboratively with diverse populations
Work Schedule
- Monday-Friday 7:30am-4:30pm
