About the Role

Experience out of Financial Services is required.

We are seeking an Executive Assistant with a minimum of 10 years experience to provide high-level administrative and operational support to a very busy team in our Human Resources department.


This role is heavily administrative in a fast-paced environment. You’ll play a key role in ensuring smooth day-to-day operations, supporting strategic initiatives, and engaging with a variety of stakeholders across our financial services firm.


Key Responsibilities

  • Deliver proactive and comprehensive administrative support to the Human Resources team, including but not limited to managing phone coverage, calendar coordination, domestic and international travel arrangements, logistics, document preparation and expense reporting.
  • Assist with internal and external communications, including coordination with candidates and vendors.
  • Support execution of recruiting, onboarding, and employee engagement initiatives.
  • Help coordinate events and Human Resource programming.
  • Maintain internal systems, files, and reports with accuracy and discretion.
  • Proactively identify opportunities to improve processes and support team effectiveness.


Requirements:

  • Experience working in a financial services firm is required.
  • Bachelor's degree required.
  • 10 years of administrative experience supporting senior-level stakeholders at a Financial Services firm, Human Resources experience is a plus
  • Proven ability to multi-task and prioritize in a high-pressure, fast-paced environment.
  • Ability to create PowerPoint presentations
  • Strong working knowledge of Microsoft Excel.
  • Excellent verbal and written communication skills.
  • Exceptional discretion, judgment, and emotional intelligence.
  • A strong team player with a proactive, “roll-up-your-sleeves” mindset.
  • Ability to work independently and take initiative on new projects.
  • High level of attention to detail, follow-through, and organizational skill.
  • Prior experience with event planning or operational support is helpful, but not required.
  • A genuine interest in Human Resources and a desire to learn and grow in the field would be appreciated.

Salary : $180,000 - $230,000
