Summary:
The Quality Assurance and Data Coordinator is responsible for supporting quality assurance, program evaluation, performance measurement, data management, compliance monitoring, and continuous quality improvement for the Child and Family Development services program.
The position supports outpatient services for children and families receiving assessment, diagnosis, treatment, and care coordination for Fetal Alcohol Spectrum Disorders (FASD), Autism Spectrum Disorder (ASD), developmental disabilities, behavioral health conditions, and other complex neurodevelopmental needs.
The Quality Assurance and Data Coordinator works closely with clinical leadership, multidisciplinary providers, care coordinators, administrative staff, information technology personnel, and organizational quality/compliance teams to ensure that program data are accurate, complete, timely, secure, and useful for improving patient care and demonstrating program outcomes.
The position develops and maintains systems for tracking the child and family's progression from referral and intake through multidisciplinary assessment, diagnosis, treatment planning, referral, service connection, and follow-up.
Major Responsibilities:
- Monitor compliance with established program policies, procedures, and clinical workflows.
- Conduct routine reviews of program documentation and data completeness.
- Identify documentation, workflow, and data-quality concerns.
- Track corrective actions and quality improvement activities.
- Assist leadership with establishing program quality standards.
- Monitor whether required clinical and administrative processes are completed within established timelines.
- Support preparation for internal and external program reviews.
- Assist with development and maintenance of quality assurance policies and procedures.
- Monitor implementation of multidisciplinary assessment standards.
- Collect, enter, validate, and maintain program data.
- Develop data-quality review procedures.
- Identify missing, incomplete, inconsistent, or duplicate information.
- Work with clinical and administrative staff to resolve data discrepancies.
- Maintain standardized definitions for program measures.
- Establish consistent data collection procedures across disciplines.
- Maintain program databases, spreadsheets, dashboards, or other approved tracking systems.
- Conduct routine data validation and quality checks.
- Maintain appropriate data documentation and data dictionaries.
- Support integration of data from multiple clinical and administrative sources.
- Monitor the progression of children and families through the outpatient program.
- Identify delays and service bottlenecks and provide data to leadership to support improvements in access.
- Maintain program data related to FASD and autism diagnostic and treatment services.
- Ensure diagnostic information is handled in accordance with organizational confidentiality and data governance requirements.
- Coordinate data collection across the Neurobehavioral Health multidisciplinary team.
- Develop standardized processes so each discipline documents required program measures consistently.
- Monitor completion of multidisciplinary components and identify cases with outstanding assessments, documentation, or recommendations.
- Assist program leadership in developing and monitoring meaningful child, family, and system-level outcomes.
- Track access and utilization for rural and Tribal communities served by the program.
- Support Continuous Quality Improvement (CQI) activities.
- Support data collection and reporting for grants, contracts, cooperative agreements, and other program funding.
- Develop routine reports and dashboards for program leadership.
- Present complex data in understandable formats that allow leadership and clinical teams to quickly identify trends, gaps, and opportunities for improvement.
- Support effective use of the Electronic Health Record (EHR) and other approved program data systems.
- Maintain strict confidentiality of patient and family information.
- Support clinical teams in improving documentation completeness and consistency.
- Maintain current versions of approved program policies, procedures, forms, tracking tools, and data definitions.
- Provide supportive feedback to improve consistency rather than approaching quality assurance solely as a compliance function.
- Performs other duties as assigned or required.
- Bachelor's degree in one of the following or a related: Health information management, health administration, public health, health care quality, business administration, behavioral health, statistics, or program evaluation.
- No DWI or other major alcohol or other drug violations within the last 36 months.
