Job Summary
We are seeking a highly organized and detail-oriented Legal Secretary to support our legal team across a variety of practice areas, including estate planning, environmental law, family law, securities law, and more. The ideal candidate will possess strong administrative skills, extensive legal research experience, and proficiency with legal case management systems. This role offers an opportunity to work in a dynamic law office environment, providing essential administrative support to attorneys and paralegals to ensure efficient case handling and client service.
Duties
- Provide executive administrative support by managing calendars, scheduling appointments, and coordinating meetings.
- Prepare, review, and proofread legal documents such as contracts, pleadings, briefs, and correspondence with precision.
- Conduct legal research using Westlaw, LexisNexis, iManage, and other legal research tools to assist attorneys in case preparation.
- Manage legal case files and document management systems to ensure proper filing, indexing, and retrieval of case materials.
- Perform data entry and maintain accurate records within various document review and case management platforms.
- Assist with document review and transcription tasks related to litigation, personal injury law, workers' compensation law, or other practice areas.
- Facilitate communication by handling phone inquiries with professional etiquette and organizing client interviews or meetings.
- Support project management initiatives related to legal cases or firm operations.
- Maintain confidentiality of sensitive information in compliance with legal standards and firm policies.
- Coordinate with external vendors or clients as needed for document processing or case updates.
Experience
- Proven experience as a Legal Secretary or in a similar legal administrative role within a law office setting.
- Familiarity with various practice areas such as estate planning, environmental law, tribal law & regulations, patent law, landlord-tenant law, immigration law, family law, securities law, litigation, and personal injury law is highly desirable.
- Experience with legal software including PCLaw, Clio, iManage, LexisNexis, Westlaw, Document management systems, and data entry platforms.
- Strong research skills utilizing Westlaw and LexisNexis for case law analysis and legal updates.
- Demonstrated organizational skills with the ability to manage multiple priorities efficiently.
- Excellent proofreading and writing skills for drafting legal documents and correspondence.
- Ability to perform administrative tasks such as filing, document review, transcription, and maintaining organized files.
- Knowledge of UCC law and tribal regulations is a plus; paralegal experience is advantageous but not required.
- Exceptional phone etiquette combined with professional communication skills to interact effectively with clients and colleagues. This position requires a candidate who is proactive, detail-oriented, capable of multitasking efficiently within a fast-paced environment while maintaining high standards of accuracy in all tasks performed.
Job Type: Contract
Pay: $36.00 - $40.00 per hour
