- Manage front desk operations, visitor experience, and office security procedures
- Oversee office operations and facilities, including maintenance, supplies, and vendor coordination
- Support onboarding and offboarding, including workspace setup and access
- Coordinate mail, shipping, and deliveries (FedEx, UPS, etc.)
- Maintain office organization, seating plans, and shared spaces
- Assist with J-1 visa coordination and support for fellows
- Manage vendor relationships, contracts, and invoice processing
- Support internal communications and all-staff announcements
- Ensure a clean, organized, and well-functioning office environment
- Assist with emergency preparedness and office-wide communications
- 3 years of office administration or operations experience
- Strong organizational, multitasking, and problem-solving skills
- Excellent communication and interpersonal abilities
- High level of professionalism and customer service mindset
- Experience working with vendors, facilities, or office services
- Ability to handle confidential information with discretion
- Proficiency with Microsoft Office and general office systems
- Bachelor’s degree preferred
