Responsibilities
As the Administrative Assistant, you'll play a key role in keeping the office running smoothly by providing high-level administrative support to a team of professionals. Responsibilities include:
- Manage calendars, meetings, and appointments for multiple team members.
- Prepare, format, proofread, and distribute professional documents and correspondence.
- Coordinate new client onboarding, including opening files and maintaining accurate records.
- Perform conflict checks and assist with client intake processes.
- Enter time records and assist with billing and administrative reporting.
- Maintain both electronic and physical filing systems.
- Answer phones, greet clients, and provide exceptional customer service.
- Coordinate meetings, conference calls, and other office logistics.
- Handle confidential information with professionalism and discretion.
- 3–5 years of administrative experience in a professional office environment.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Highly detail-oriented with strong proofreading abilities.
- Proficiency in Microsoft Office, including Word, Outlook, and Excel.
- Ability to work independently while supporting a collaborative team.
- Experience in a law firm or other professional services environment is a plus, but not required.
