Position Summary
Reporting to the Controller, the Senior Staff Accountant manages payroll processing for 1099 and office staff, resolves discrepancies, and ensures timely bi-weekly payroll. The role records payroll expenses, prepares monthly closing entries for payroll and vacation accruals, and handles retirement plan reporting with third-party administrators. Additionally, the position maintains documentation for state caregiver registry compliance, supports audits and regulatory filings, and oversees client trust account reconciliation as needed.
Key Responsibilities
Financial Accounting and Reporting
o Collaborating with internal departments to gather, analyze, and interpret relevant financial information.
o Entering financial data such as accruals, deferrals, reclassifications, and intercompany entries into the ledger on a daily basis, as well as preparing reports.
o Recording entries and reconciling unbilled revenue and AR for home health companies.
o Posting payments to AR ledger and researching reasons for discrepancies.
o Successfully work with external parties handling claims billing to ensure that revenue is recorded accurately and claims are submitted timely.
o Preparing intercompany entries to properly allocate revenues, expenses and intercompany balances.
o Performing account analysis to ensure that journal entries and balances are correct.
o Reconciling accounts with the general ledger.
o Gathering supporting documentation and performing recordkeeping.
o Keeping abreast of regulatory requirements and best practices in accounting.
AP Platform Responsibilities
o Reviewing source documentation and properly coding to correct company and Staff account
o Confirming appropriate level of authorization for bills submitted to AP Platform
o Recording bills from contractors
o Weekly reconciliation of AP Platform to Business Central
o Monthly closing entries for AP Department [Accruals, Prepaid,…]
o Weekly credit cards reconciliation
Payroll Process Responsibilities
o Reviewing and confirming time tracking for 1099 payrolls Office Employees. Resolve discrepancies.
o Processing payroll on a bi-weekly basis.
o Recording payroll expenses per completed payroll run reports.
o Monthly closing entries for payroll and vacation accruals.
o Preparing and Reporting retirement plan information as required by third party administrator.
Regulatory & Compliance Support
o Maintain financial documentation required for state caregiver registry compliance.
o Assist with annual audits, licensing renewals, and regulatory reporting.
o Ensure proper handling of client trust accounts (if applicable), including deposits, disbursements, and reconciliations.
o Annual Budget preparation
Qualifications
Education & Experience:
· Bachelor’s degree in Accounting, Finance, or related field.
· 3–5 years of progressive accounting experience and exposure to in home care, caregiver registries, healthcare staffing, or similar industries.
· Strong understanding of Generally Accepted Accounting Principles (GAAP).
· Experience with high volume service billing or payroll.
· Familiarity with independent contractor payment structures and compliance requirements.
Skills & Competencies:
· Proficiency with Business Central accounting software and Excel.
