Our client, a family office, is looking for a Temporary Executive/Personal Assistant. The ideal candidate is highly organized, proactive and thrives in a fast-paced environment.
This role starts asap and will be an ongoing temporary role, while they search for a permanent hire.
Location: Fort Lee, New Jersey
Hours: 9am – 5:30pm
*Fully Onsite
Responsibilities:
Executive Support
- Manage complex calendars and scheduling for principals and family members
- Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and last-minute changes
- Process expense reports, reimbursements, invoices, and payments with accuracy and discretion
- Prepare materials for meetings and support executive workflows and communications
- Partner with internal stakeholders, accountants, attorneys, vendors, and external contacts
- Collect documentation, secure approvals/signatures, and manage administrative follow-through
- Support tax, financial, and family office operational processes
- Screen communications and prioritize urgent matters appropriately
Family Office & Personal Support
- Coordinate personal travel, family logistics, and scheduling needs
- Oversee personal staff coordination and support management of family-related operations
- Assist with expense administration related to residences, private aviation, and personal assets
- Coordinate medical reimbursements and maintain organized records
- Plan and execute personal, family, philanthropic, and corporate events
- Support family governance meetings and confidential initiatives
- Handle ad hoc projects with a high degree of ownership and discretion
Office Operations
- Provide light office management support, including ordering supplies and maintaining office and kitchen inventory
- Ensure the office environment remains organized, stocked, and operating efficiently
Qualifications
- Bachelor’s degree preferred
- 7 years of executive-level support experience within a corporate, family office, or high-touch environment
- Advanced proficiency across Microsoft 365, Google Workspace, virtual meeting platforms, and expense/travel systems
- Exposure to AI-enabled search and productivity tools is a plus
- Exceptional written and verbal communication skills
- Strong organizational skills with impeccable attention to detail
- Ability to remain calm under pressure and navigate sensitive situations with professionalism and tact
- Demonstrated discretion and commitment to confidentiality across personal, financial, and business matters
- Highly responsive with a proactive, solutions-oriented mindset
