A well-known Media/Entertainment/Content Producer and Distributor is seeking an experienced Executive Assistant to support their Chief Information Officer in their New York Midtown office.
This is a hybrid role 3 days / week onsite and offers a great work/life balance and the opportunity to work alongside an amazing team.
In this high-impact role, you’ll serve as a trusted partner, managing the day-to-day logistics and priorities of a dynamic, fast-paced Executive. The ideal candidate brings sound judgment, discretion, and a sharp ability to manage shifting demands with calm precision. You’re organized, proactive, and thrive in environments that demand both operational and a collaborative, can-do mindset.
You’ll be at the center of communications, planning, and team connectivity. Expect a blend of calendar management, event execution, gatekeeping, and daily operational maneuvering.
RESPONSIBILITIES
- Manage complex calendars, coordinate meetings across time zones, and handle last-minute changes with ease.
- Arrange end-to-end travel logistics (air, ground, hotel, dining)
- Draft internal communications, executive decks, and briefing materials with clarity and impact.
- Coordinate department-wide meetings, team events, offsites, and speaking engagements, owning logistics, catering, and comms.
- Act as the liaison between the CIO and internal/external stakeholders.
- Track expenses, process purchase orders, and manage invoice reconciliations in partnership with Finance.
- Attend meetings as needed, take notes, track action items, and follow up to ensure momentum.
- Provide additional support to the broader Tech Leadership Team on strategic initiatives and operations.
Requirements
- 3 years of executive-level support experience
- Exceptional organizational skills and judgment under pressure
- Outstanding communication verbal, and written
- Proven ability to handle confidential information with discretion
- Strong time management and the ability to manage multiple priorities independently
- Familiarity with productivity tools like Google Workspace, Microsoft Office, Slack, Zoom, Box
- Bachelor’s degree preferred, but not required
- Prior experience in media, or entertainment organizations
- Experience supporting senior technology leaders or within tech organizations
- Experience managing purchase orders and budgets is a plus
Salary : $85,000 - $95,000
