Our client, a leading venture capital firm specializing in healthcare investments, is seeking a proactive and highly organized Executive Assistant / Office Manager to support their growing team. The Executive Assistant / Office Manager will play a key role in maintaining smooth day-to-day operations while providing high-level administrative support to the firm’s CFO and select members of the Investor Relations team. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced, professional environment. This role will begin on a part-time basis, with hours expected to increase and a strong potential to transition into a permanent position.
**Please note this is a part-time, onsite, temp-to-perm position based in Menlo Park, CA. Pay will be $70/hr.**
Key Responsibilities:
- Manage complex calendars, coordinate internal and external meetings, and assist with scheduling across multiple time zones
- Handle expense reports, reimbursements, and invoice processing with accuracy and timeliness
- Coordinate limited travel arrangements including flights, hotels, and ground transportation
- Serve as the main point of contact for office management, including facilities coordination, vendor management, and supply ordering
- Support meeting preparation, document organization, and presentation materials as needed
- Assist with event coordination and firm-wide communications as required
- Provide light administrative support to the CFO and select members of the Investor Relations team
- Ensure the office runs efficiently and maintains a polished, professional atmosphere
Qualifications:
- 4 years of experience in an Executive Assistant or Office Manager role, preferably in finance, investment, or professional services
- Strong organizational and multitasking abilities, with meticulous attention to detail
- Excellent communication skills, both written and verbal
- Proficiency in Microsoft Office Suite, Google Workspace, and expense management tools (e.g., Concur, Expensify)
- Ability to handle confidential information with discretion and professionalism
- A proactive, flexible, and solutions-oriented mindset
