Overview
We are seeking a proactive, organized, and detail-oriented Office Administrator to join our team. This individual will play a key role in ensuring smooth daily operations at our center, particularly in managing morning staff scheduling and supporting the administrative needs of the office. The ideal candidate thrives in a fast-paced environment, has excellent communication and problem-solving skills, and enjoys being the go-to person for keeping everything running efficiently.
Hours: Monday through Friday 7:15am-3:45pm
Key Responsibilities
Scheduling & Staffing Operations
- Oversee and manage daily scheduling, including creating, updating, and adjusting staff schedules.
- Respond quickly to morning call-outs, reassign staff or arrange appropriate coverage to ensure smooth center operations.
- Coordinate daily substitution needs and communicate updates to staff clearly and promptly.
Administrative & Front Office Support
- Serve as the first point of contact at the front desk, greeting visitors and answering phone calls in a friendly, professional manner.
- Handle new client intake processes, including answering inquiries, collecting documentation, and assisting with onboarding logistics.
- Receive, sort, and manage deliveries, mail, and shipments to the center.
Office Management
- Track inventory of office and clinical supplies; place orders to ensure the center remains well-stocked and functional.
- Assist with data entry, filing, maintaining organized digital and physical records, and other clerical tasks.

Experience & Qualifications
- Minimum of 2 years prior experience in an administrative, scheduling, or office coordination role.
- Experience doing administration at a healthcare services company is strongly preferred.
- Strong computer literacy, especially with tools Microsoft Office; experience with scheduling or practice management systems is a plus.
- Excellent organizational skills and attention to detail.
- Proven ability to multitask and respond to unexpected changes with composure and problem-solving.
- Professional, friendly demeanor with strong verbal and written communication skills.

Pay: $45,000.00 - $50,000.00 per year
