Responsibilities
- Greet visitors, clients, and staff warmly while managing check-in and check-out procedures efficiently
- Operate multi-line phone systems with professionalism, providing accurate information or directing calls appropriately
- Maintain a clean and organized front desk area, ensuring all supplies are stocked and accessible
- Manage reservations (making, canceling and modifying reservations)
- Microsoft Office Experience preferred not mandatory
- Handle data entry tasks including filing, proofreading documents, and updating records with accuracy and attention to detail
- Support office management activities such as bookkeeping with accounting software
- Assist with clerical duties like photocopying, faxing, mailing, and managing incoming/outgoing correspondence
Requirements
- Proven experience in front desk operations or office management roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong phone etiquette with experience handling multi-line phone systems and customer support calls
- Demonstrated clerical experience including filing, proofreading, and document management
- Familiarity with bookkeeping software is a plus for supporting financial tasks
- Exceptional time management skills to prioritize tasks efficiently in a flexible work environment
- Previous personal assistant or administrative experience preferred to handle calendar management and office support tasks
- IHG Preferred but not mandatory
