Our client seeks a Legal Administrative Coordinator (Guest & Meeting Services) to perform all functions related to receiving calls, clients, and guests and directing them appropriately within the Firm. The coordinator will schedule and set up technology for on-site and virtual meetings, troubleshoot issues with conference rooms and telephone systems, and coordinate catering for meetings.


Compensation: $28.85/hr

Availability: On-site, Monday - Friday, 8am - 5pm.

Duration: This contract role is set to be indefinite and could turn into something permanent for the right person.


Duties & Responsibilities:

  • Greet clients, guests, and visitors in a friendly and professional manner; manage client parking validation via the online parking validation system; maintain the professional appearance of the reception area.
  • Operate a multi-line telephone console to relay incoming, outgoing, and intra-system calls.
  • Maintain security by following procedures; maintain visitor log and issue visitor badges. Facilitate a professional, respectful guest experience that protects the client and Firm confidentiality.
  • Schedule conference rooms and visitor offices using electronic resource scheduling software in advance and in response to immediate needs.
  • Coordinate catering for meetings and events. Maintain updates in scheduling software to reflect catering plans for meeting attendees. Set up food and beverages in meeting rooms as needed.
  • Event planning – Assist legal and operational teams with planning and executing on-site and off-site events. Duties may include researching and booking venues; coordinating catering, transportation, speaker, and AV needs; managing guest lists and event-day support.
  • Special Assignments – Assist with data entry, mailings, or other administrative projects using Microsoft Office applications and other Firm technologies as needed.


Qualifications:

  • Communicate effectively with internal and external clients, both orally and in writing.
  • Exhibit proficiency with the Firm’s communication tools, including Microsoft Outlook, Microsoft Teams, and Zoom.
  • Arrive at work on time and ready to contribute. Provide a seamless, high-quality, and positive experience to guests of the Firm.
  • Show genuine sensitivity to the needs and capabilities of others. Treat others with respect, professionalism, and consideration. Interface well with diverse groups. Work effectively within a team and with others at all levels of the Firm.
  • Handle sensitive or complex issues with confidence and professionalism. Remain clear-headed and focused in stressful situations.
  • Organize tasks and workflows for efficiency and consistency. Understand priorities and organize time to meet deadlines and goals. Maintain attention to detail while switching between tasks or performing multiple tasks simultaneously.
