Warranty Administrator
Location: Cable Dahmer Chevrolet – Independence, MO
Full-Time: Monday-Friday
Position Overview
The Warranty Administrator is responsible for managing the complete warranty claims process within the service department. This role ensures that all manufacturer and extended warranty claims are submitted accurately and in a timely manner. The Warranty Administrator works closely with service advisors, technicians, and accounting to maintain compliance with manufacturer guidelines while maximizing claim recovery.
Responsibilities
Review, prepare, and submit warranty claims to the manufacturer
Monitor claim status and follow up on outstanding or unpaid claims
Correct and resubmit denied claims as needed
Maintain accurate records of claims, repair orders, credit memos, and related documentation
Reconcile warranty receivables and post credits to the appropriate accounts
Ensure compliance with manufacturer policies, recalls, and service bulletins
Serve as the primary point of contact for warranty-related questions from internal staff and manufacturer representatives
Train and assist service staff on warranty processes when needed
Identify process improvements to reduce claim rejections and improve efficiency
Support the service department with administrative tasks as required
Qualifications
High school diploma or equivalent required
Previous experience in a dealership service or warranty role preferred
Familiarity with Dealer Management Systems (CDK, Reynolds & Reynolds, or similar) is a plus
Strong organizational skills and attention to detail
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to interpret technician notes, labor codes, and warranty requirements
Strong communication and customer service skills
