Executive Assistant
CR Fletcher is partnering with a mission-driven nonprofit seeking a detail-oriented and proactive Executive Assistant to assist their leadership team. This role supports daily operations, grant/ contract management and program logistics. The ideal candidate will be highly organized, an excellent communicator, and comfortable working in a fast-paced, collaborative environment.
Responsibilities
- Provide administrative support for grant and contract management, including vouchering and progress report submissions.
- Assist with accounts receivable and monthly financial reporting in coordination with an outsourced accounting firm.
- Enter journal entries, process deposits, and manage vendor/customer records in QuickBooks.
- Support light bookkeeping across youth, community, and domestic violence support programs.
- Organize and process check requests and reimbursements for general operations.
- Assist with filing and documentation for the accounting team.
- Coordinate meeting agendas and attend all internal staff meetings.
- Schedule and manage van usage, maintenance, and reimbursements for program travel.
- Purchase supplies and food for programs, ensuring cost-effective procurement.
- Manage facility-related tasks such as donations, security, maintenance, and telecommunications.
- Support planning of holiday events and donor campaigns with the development team.
- Provide onboarding support to new leadership staff.
- Assist with winter/summer camp logistics and compliance, in collaboration with program managers.
- Perform other duties assigned by the Deputy Executive Director
Qualifications
- Associate degree in business, public administration, social science, or a related field
OR
- Minimum 5 years of experience in office administration or nonprofit operations
- Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook)
- Strong attention to detail and time management skills
Part Time position: 30-35 hours per week, Monday- Friday, 8:30am-2:30pm
Job Type: Part-time
Pay: $35,000.00 - $40,000.00 per year
Expected hours: 30 – 35 per week
Work Location: In person
