Job Summary
The Logistics Manager plays a central role in ensuring the smooth execution of all projects by managing logistics, expediting, scheduling, and coordination between project management, vendors, workrooms, and warehouses. This individual will be responsible for ensuring that every detail — from order placement through final installation — is handled efficiently, accurately, and in alignment with the firm’s high design and client service standards. This is an independent role requiring exceptional organizational skills, accountability, and confidence in managing processes and working collaboratively with others. The ideal candidate will be assertive in upholding firm protocols, proactive in problem-solving, and professional in all interactions.
- Lead and collaborate with Project Managers to plan and track project timelines and deliverables.
- Develop and maintain realistic schedules and milestones for all project phases.
- Coordinate with vendors, warehouses, and freight partners to ensure timely delivery.
- Communicate status updates proactively and mitigate potential delays.
- Create and manage purchase orders (including freight and warehouse) accurately in Studio Designer.
- Track and update all orders daily; address delays or production issues.
- Maintain strong, professional relationships with vendors and workrooms.
- Act as the liaison between warehouses, freight partners, and project teams.
- Oversee receiving, storage, and delivery of all items with a focus on accuracy and condition.
- Troubleshoot issues (missing, delayed, or damaged items) and ensure timely resolution.
- Organize and oversee installations; manage post-installation punch lists and returns.
- Maintain organized, detailed records for all orders and deliveries.
- Utilize Studio Designer and Harvest for data tracking and time management.
- Ensure adherence to firm protocols, accuracy, and profitability on all orders.
- Serve as an accountable partner to project teams.
Qualifications
- Minimum 5 years of experience in logistics, procurement, expediting, or project management, preferably within a high-end interior design or related industry.
- Proven ability to manage multiple complex projects simultaneously, up to 30 projects at one time supporting multiple members of the project team.
- Experience leading coordination between internal teams and external vendors.
- Excellent project management and organizational skills.
- Strong problem-solving ability and proactive approach.
- Clear and confident communicator (written and verbal).
- Proficiency with Studio Designer or similar software is a plus.
- Experience with time billing software is a plus (e.g. Harvest).
- Proficiency with Apple products and applications.
- Experience in Adobe, Dropbox, Microsoft Office and Outlook a plus.
- Able to learn technical information and details quickly.
- Able to perform at a high level in a fast-paced, dynamic, multi-tasking environment.
- Keen attention to detail and accuracy.
- Professional, assertive, and accountable.
- Able to manage and influence others while maintaining positive relationships.
- Reliable, organized, and self-motivated.
- Strong sense of integrity and discretion when handling confidential information.
- Sound judgement and decision making.
- Able to effectively adapt and work with a range of different personalities.
- Work hours 9 am to 6 pm, with some flexibility.
- Hybrid work schedule potential: on-site presence required during onboarding and as project needs demand.
- Occasional travel to warehouses, vendor showrooms, and project sites.
- Must be physically able to assist during installations, including light lifting and setup coordination.
