Position Summary
The School Secretary serves as the first point of contact for students, families, and visitors and plays a critical role in ensuring the smooth and efficient daily operation of the school office. This position requires professionalism, confidentiality, strong organizational skills, and excellent customer service.
Key Responsibilities
Front Office Management

Greet and assist students, families, and visitors in a professional and welcoming manner.

Answer and direct phone calls and emails promptly.

Manage incoming and outgoing correspondence.

Maintain visitor logs and ensure building security protocols are followed.
Administrative Support

Provide clerical support to school leadership and staff.

Prepare reports, letters, and internal communications.

Maintain student records in compliance with FERPA and school policies.

Assist with scheduling meetings, appointments, and events.

Support attendance tracking and documentation processes.
Records & Data Management

Maintain accurate student and staff records.

Process enrollment documents and student transfers.

Manage filing systems (digital and physical).

Order and maintain office supplies.
Family & Staff Support

Respond to parent inquiries with professionalism and care.

Assist with coordination of school events and activities.

Support onboarding procedures for new students and staff.
Required:

High School Diploma or equivalent (Associate’s degree preferred).

Minimum of 2 years of administrative or office experience.

Proficiency in Microsoft Office (Word, Excel, Outlook).

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Ability to maintain confidentiality.
Preferred:

Experience in a K–12 school setting.

Familiarity with student information systems.

Bilingual (Spanish or other languages spoken in the Buffalo community).
