Medical Secretary – Front Desk | Full-Time | Buffalo Pediatric Associates
Buffalo Pediatric Associates is seeking a warm, motivated, and experienced Medical Secretary to join our front desk team. This full-time position requires the ability to travel between both of our locations in Williamsville and Buffalo. We are looking for a mature, compassionate, and team-oriented professional who is ready to make a difference in the lives of children and families in Western New York.

What You'll Do
As the face of our practice, you'll play a vital role in creating a welcoming and efficient experience for our patients and their families. Daily responsibilities include:
- Greet patients and families warmly upon arrival
- Check patients in and out efficiently and accurately
- Verify insurance eligibility and obtain authorizations as needed
- Answer and triage a high volume of patient phone calls
- Schedule and confirm appointments
- Take and accurately record patient payments and copays
- Collect and scan patient demographics, insurance cards, and required forms
- Maintain accurate patient records in our MEDENT electronic health record system
- Communicate with clinical staff to ensure smooth patient flow
- Respond to patient portal messages and requests
- Handle medical record requests appropriately and in compliance with HIPAA
- Assist with end-of-day balancing and reconciliation of payments
- Support a clean, organized, and welcoming front desk environment
- De-escalate and manage upset or frustrated patients and families with professionalism and empathy
- Conduct outreach to families to schedule well visits, preventive care appointments, and follow-ups via phone and patient portal
- Manage incoming and outgoing faxes, routing documentation to the appropriate clinical or administrative team members promptly and accurately

- MEDENT experience required

Shift Hours:
Start times: 7:45, 8:00, 8:30, or 10:30 AM
End times: 3:45, 4:00, 4:30, or 6:30 PM
Saturday availability required (8:00 AM – 12:00 PM), rotating with other front desk staff
