HVAC Service & Maintenance Estimator

Position Overview: 

We are seeking a detail-oriented and proactive HVAC Service & Maintenance Estimator to join our growing team. This position plays a key support role in our sales and operations process, assisting in the development of accurate and timely estimates and proposals across a range of service offerings including owner-direct construction projects, retrofit work, service agreements, building automation controls, and equipment replacement. 

The ideal candidate will work closely with sales team members, estimators, and operations personnel to compile labor and material costs, evaluate scope requirements, and prepare customer ready proposals that reflect both technical accuracy and competitive pricing. 

Pay Scale: $80,000 Commission 

Key Responsibilities: 

• Assist sales team members in assembling estimates and quotes for: 

• Owner-direct construction projects (light mechanical, tenant improvements, equipment changeouts) 

• HVAC retrofit scopes involving system replacements, reconfigurations, or energy upgrades 

• Service agreements including preventive maintenance, inspections, and scheduled service plans 

• Controls/Building Automation scopes involving system upgrades, repairs, and software integrations 

• Equipment replacement scope for RTUs, split systems, chillers, boilers, etc. 

• Review project scopes and site photos to generate labor/material estimates 

• Conduct site walks / surveys to accurately develop proposals / estimates base on site conditions, specific needs, customer expectations and potential challenges 

• Solicit vendor and subcontractor pricing as needed to support accurate quote development 

• Populate estimating templates and proposal documents in alignment with internal standards 

• Coordinate with operations to ensure constructability and service logistics are accounted for 

• Participate in internal turnover/handoff meetings to ensure clear understanding of estimated scope 

• Track quote status and follow-up timelines using CRM or project tracking tools 

• Assist in maintaining quote libraries, pricing catalogs, and scope documentation standards 

Qualifications

Qualifications 

Required: 

• Hands-on experience or strong knowledge of commercial HVAC systems 

• Familiarity with Excel and Microsoft Teams 

• Strong organizational and communication skills 

• Ability to manage multiple priorities in a fast-paced environment

Helpful (but not required — we will train the right candidate): 

• Ability to read and interpret mechanical drawings or equipment specs 

• Familiarity with estimating or CRM tools 

• Familiarity with project management tools such as Asana or Monday.com 

Education & Certifications: 

• High school diploma or GED required; associate’s degree or technical training in HVAC, construction management, or related field preferred 

• EPA 608 Certification, OSHA 10, or estimating coursework is a plus
