PRIMARY FUNCTION:
The Transportation Manager oversees all aspects of transportation services for the Boys & Girls Clubs of Mercer County. This position is responsible for creating and managing safe, efficient routes for transporting youth from schools to designated Clubhouses, as well as coordinating transportation for field trips, outings, and special events. The Transportation Manager supervises bus drivers and bus aides, ensures compliance with FMCSA guidelines and state regulations, and maintains a strong focus on youth safety, punctuality, and vehicle maintenance.
ESSENTIAL DUTIES & RESPONSIBILITIES
Transportation Oversight
- Develop, monitor, and adjust daily transportation routes to ensure timely pick-up and drop-off of youth.
- Coordinate transportation for school-year programs, summer camp, and special events.
- Maintain updated student rosters and attendance tracking systems for all routes.
- Ensure buses are scheduled, maintained, and inspected according to state and federal regulations.
Vehicle Maintenance & Inspections
- Oversee preventive and routine maintenance of all buses, ensuring vehicles are safe and operational.
- Conduct and document pre-trip and post-trip inspections in compliance with state and FMCSA requirements.
- Schedule regular service, inspections, and repairs with mechanics and vendors.
- Maintain accurate maintenance and inspection logs for all vehicles.
- Report and resolve safety or mechanical issues promptly to minimize downtime.
Staff Supervision & Leadership
- Recruit, hire, train, and supervise bus drivers and bus aides.
- Provide ongoing coaching, performance evaluations, and professional development opportunities.
- Monitor compliance with Club safety standards and FMCSA guidelines.
- Create staff schedules and ensure appropriate coverage for all routes.
Safety & Compliance
- Ensure compliance with FMCSA and state Department of Transportation guidelines, including driver logs, background checks, and safety training.
- Conduct regular safety meetings and trainings for drivers and aides.
- Oversee accident/incident reporting, investigations, and follow-up.
- Partner with facilities/maintenance staff to ensure vehicles meet all safety and licensing requirements.
Administrative & Reporting
- Maintain accurate attendance, route logs, driver certifications, maintenance records, and compliance documentation.
- Manage transportation budget, including fuel, maintenance, and staffing.
- Prepare transportation reports for leadership, grants, and audits as required.
- Collaborate with Membership and Program teams to ensure rosters and attendance align with program needs.
Professional Standards

- Model the mission and guiding principles of the Boys & Girls Clubs through interactions with youth, staff, and families.
- Uphold trauma-informed practices and positive communication with staff and families.
Training & Professional Development
- Complete all required continuing education units (CEUs) as mandated by the NJ Office of Licensing.
- Participate in Spillett University trainings, Club-led trainings, and other professional development opportunities.
- Attend all required in-person training, orientations, and staff meetings.
- Demonstrate commitment to continuous improvement by applying training and feedback in daily practice.
- Ensure that assigned staff attend and complete all required training, meetings, and certifications, and provide accountability and support as needed.
QUALIFICATIONS:
· High school diploma or equivalent required; additional coursework or certifications in transportation, logistics, or fleet management preferred.
· Equivalent combination of education and relevant supervisory/transportation experience will be considered.
· Minimum of 3 years of experience in transportation management, fleet maintenance, or supervisory role.
· Strong knowledge of FMCSA guidelines, vehicle inspections, and state transportation regulations.
· Proven leadership skills in supervising staff and managing routes/schedules.
· Ability to oversee and coordinate preventive maintenance and repair of buses.
· Strong communication, problem-solving, and organizational skills.
· Proficiency in Microsoft Office Suite and database systems.
· CDL with Passenger (P) and School Bus (S) endorsements strongly preferred; ability to drive buses in emergency coverage situations.
SKILLS/KNOWLEDGE/REQUIREMENTS:
· Ability to organize routes, inspections, and schedules effectively.

ENVIRONMENTAL and WORKING CONDITIONS:
· Work is conducted in office, vehicle, and outdoor settings.
· Regularly required to ride buses, conduct inspections, and monitor safety.
· Ability to lift up to 50 pounds.
· Occasional evening/weekend hours for special events and trips.
