THE JOB
Work closely with the COO to keep daily operations, B2B orders, and warehouse needs moving. This is a hands-on coordination role involving invoice follow-up, stock reorders, incoming shipments, and making sure outstanding tasks are handled. Botach sells tactical, outdoor, and firearms-related products through retail, e-commerce, and business-to-business channels.
WHAT YOU WILL OWN
- Follow up on outstanding invoices with the relevant customers, vendors, and accounting team. Track status, missing documents, discrepancies, and next actions until resolved.
- Help monitor warehouse stock and replenishment needs. Check quantities on hand and existing orders before preparing reorders; place orders within approved limits and follow up on confirmations, availability, and delivery dates.
- Keep B2B orders and requests moving by coordinating with customers and internal teams on paperwork, invoices, stock availability, order status, and delivery updates. Verify that promised follow-ups happen.
- Track incoming shipments and keep the warehouse informed of expected arrivals and delays. Coordinate with receiving to confirm that items, quantities, and condition match the order and delivery paperwork.
- Follow through on shortages, damage, incorrect items, missing documents, or other receiving problems with the responsible team or vendor until there is a clear resolution.
- Help the COO organize the day's operational priorities. Keep a clear list of open tasks, responsible people, deadlines, next actions, and decisions needed across operations, B2B, and the warehouse.
- Follow up with internal teams and outside contacts, verify completion, and flag time-sensitive issues before they become missed orders, stock shortages, or avoidable costs.
- Read requests and supporting information fully. Catch obvious errors such as duplicate reorders, mismatched quantities, incorrect invoice details, or conflicting delivery information, and investigate before proceeding.
- Maintain accurate spreadsheets, records, and concise status updates. Handle confidential business information carefully and obtain approval for purchases, payments, or commitments outside your authority.
WHAT GOOD WORK LOOKS LIKE
The COO can see what is done, what is outstanding, and what needs a decision. An invoice follow-up, stock reorder, B2B request, or incoming shipment does not disappear after one email. If someone has not replied, you keep the task visible, follow up, and escalate appropriately. You check the result and care about whether the work was actually completed.
WHAT YOU BRING
Organization, clear communication, attention to detail, practical judgment, reliable attendance, and comfort using email and spreadsheets. You should be willing to learn our systems and move between office coordination and warehouse follow-up as needed. No degree or prior executive-assistant title is required. Show us that you can keep track of details, learn, and follow through without repeated reminders.
