What are the responsibilities and job description for the Strategic Executive Assistant to Co-Founders at a High-Growth AI Startup position at Bloom Talent?
A fast-moving AI enablement startup is looking for a strategic Executive Assistant to support the two Co-Founders. Backed by tier one VCs and led by two serial builders with a track record that speaks for itself, this is an exciting opportunity to join a 24-person team at the frontier of AI in a role with real impact. In this role, you'll keep the two Co-Founders focused and moving by managing busy calendars, overseeing email inboxes and communications, booking travel, driving follow-ups and cross-functional coordination, and supporting light office operations. You'll also provide light personal support to ensure commitments across work and home are aligned. Someone who owns outcomes end-to-end, creates their own momentum, and isn't afraid to push back. AI fluency is non-negotiable — this entire team runs on Claude and Cursor, and so will you. This is a primarily in-office role, 4 days/week, based in NYC. 160-190K DOE equity, full benefits, unlimited PTO, and daily team lunch.
- Provide high-level strategic and administrative support to the two Co-Founders business and operational priorities.
- Own and manage complex, high-volume calendars, including scheduling, prioritization, conflict resolution, and ensuring all meeting logistics are complete and accurate.
- Manage inboxes and communications, triaging, drafting responses, and ensuring nothing falls through the cracks.
- Coordinate domestic and international travel arrangements, itineraries, and related logistics for executives.
- Manage cross-functional communication and follow-ups to keep leadership aligned on projects, deadlines, and key action items.
- Act as a central point of coordination across multiple internal and external stakeholders to maintain smooth day-to-day operations.
- Support light personal and family-related coordination as needed to ensure executive schedules are organized and fully covered.
- Own life office support alongside team members to ensure the new workplace is maintained and running efficiently — stocking snacks and supplies, coordinating daily lunch orders, and keeping things running smoothly.
- Previous experience as an Executive Assistant to C-suite or senior leadership at a fast-growing startup or VC.
- Must be fully AI-fluent. Experience using tools such as Claude, Cursor, and Cowork in your daily workflows.
- Execution-focused. Highly proactive with a strong sense of ownership and the ability to perform independently without requiring constant direction.
- Strong organizational and problem-solving skills, with the ability to manage multiple priorities and adapt quickly in a dynamic environment.
- High EQ. Ability to read the room, understand stakeholders, and know when and how to apply pressure to move things forward.
- Confident and assertive, with strong judgment to push back, make decisions, and maintain momentum when needed.
- Strong communicator. Polished, articulate, and able to represent the Executives internally and externally.
- Extremely responsive and on top of things to avoid delays or anything falling through the cracks.
