Private equity firm is looking for an Executive Assistant to support their CEO. In this role, you'll own calendar management, coordinating meetings and speaking engagements, high-volume communication organization across multiple platforms, travel logistics, and light personal coordination. This role is based in Miami with in-office expectations mirroring the Executive's schedule, so flexibility is key. Travel required up to 2 weeks/month, including domestic and international trips. Must be available and responsive 24/7 for real-time support. 120-175K base DOE generous benefits, bonus, and 401k. Willing to relocate.
Responsibilities:
- Provide administrative and organizational support to the CEO, in collaboration with and reporting to the Chief of Staff.
- Proactively own and manage a complex calendar across time zones, staying on top of all commitments and ensuring nothing slips through the cracks.
- Arrange and handle all logistics for meetings, conferences, and speaking engagements. Ensuring all stakeholders, team members, and security are aware and updated on details, including any changes.
- Manage a high volume of communications across multiple platforms simultaneously. Maintain a running list of requests and inbound, triage across all channels, synthesize fragmented inputs into cohesive communications, and convey to the Executive clearly and in real-time.
- Book and arrange travel, including collaborating with team members on planning and organizing trip logistics.
- Be on the ground support during travel, handling every detail so the CEO remains focused on the bigger picture. Coordinating logistics and operations, including tracking meetings and follow-ups, keeping the Executive on time during back-to-back meetings, tracking traffic and transportation in real-time, coordinating with security and team members, keeping stakeholders updated on changes, and making sure the Executive's trip is running seamlessly, whether it's managing bags or grabbing meals.
- Provide light personal coordination, scheduling with personal staff, booking appointments, and helping with travel if needed.
- Ad hoc tasks and projects to support the Executive and team.
Qualifications:
- 3-10 years of experience as an Executive Assistant in a VC, Client Services, or similar industry, ideally supporting a high-profile principal, Founder, or C-Suite executive in a dynamic environment.
- Polished and professional communication style.
- Highly organized with strong communication management. Ability to handle high volumes of information across multiple channels simultaneously, triage effectively, and concisely synthesize.
- Collaborative, team-player who is willing to do what it takes to get the job done.
- Strong interpersonal skills and high EQ. Ability to read the room and situations and quickly adapt accordingly.
- Ability to intuitively shift gears quickly as priorities change.
- Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks.
Salary : $120,000 - $175,000
