Our client is an investment firm (3 billion AUM) targeting opportunities throughout the capital structures of real estate, related assets, and asset-intensive businesses
They are seeking an experienced Office Manager to oversee daily operations and ensure the seamless functioning of their New York office. The role is hybrid – working 4 days per week out of the mid-town Manhattan Office. Occasionally, you may need to work out of the Stamford, CT office. (a few times a year).
Key Responsibilities
- Manage day-to-day office operations, ensuring a smooth, organized, and professional workplace
- Oversee office vendors, including facilities, IT, and building management
- Coordinate office logistics such as seating plans, supplies, equipment, and maintenance
- Support senior executives with scheduling, meeting coordination, and travel arrangements
- Plan and execute internal events, team meetings, and client-facing functions
- Onboarding new hires, including workspace setup and coordination with HR/IT
- Maintain office budgets, process invoices, and manage expense reporting
- Primary point of contact for building management and external service providers
- Implement and improve office policies, procedures, and best practices
- Ensure compliance with firm policies and NYC workplace regulations
Qualifications
- 8 years of office management experience, preferably within a hedge fund, asset management firm, or financial services environment
- Strong organizational and multitasking skills in a fast-paced setting
- Excellent communication and interpersonal skills
- Use of professionalism and discretion, especially when supporting senior leadership
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and workplace tools (e.g., Concur, Zoom, Teams)
- Experience managing vendors, budgets, and office operations in NYC commercial environments is preferred
Preferred Skills
- Prior experience in hedge funds, private equity, or investment firms
- Handle travel and expenses for senior leadership
- Familiarity with financial industry culture and high-performance environments
- Ability to anticipate needs and proactively solve problems
- Event planning and project management experience
Compensation
- Competitive base salary ($180,000 - $220,000) based on exp. Bonus of 10%-15%
- Comprehensive fully paid by employer benefits (health, dental, vision, 401(k), etc.)
- PTO of 20 days per year plus 10 holidays per year.
