Position Overview
Our client is seeking an Executive Assistant to join the Office of the COO and Business Enablement team, partnering closely with the Executive Assistant to the COO. This role supports a variety of fast-moving initiatives across the team, including Corporate Access and stewardship-related projects, while developing expertise in CorpAxe and eventually serving as a subject matter expert for the platform.
In addition to CorpAxe-related responsibilities, the Executive Assistant will provide high-level administrative support, including calendar management, travel coordination, expense reporting, and meeting logistics. The role supports approximately 10 stakeholders, with day-to-day support focused on 5 individuals.

Key Qualifications
- 3 years of administrative experience in a high-volume, fast-paced environment.
- Proven ability to manage competing priorities and shifting deadlines.
- Experience with CorpAxe or a similar platform is preferred.
- Demonstrated willingness and ability to quickly learn new technologies and tools.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, OneNote, and PowerPoint).
- Outstanding communication, presentation, and interpersonal skills.

Key Responsibilities
- Provide administrative support to the Corporate Access and Research Services and Market Data Services teams within the Office of the COO.
- Manage complex calendars across multiple time zones for a global team.
- Coordinate internal and external meetings, offsites, and events.
- Arrange domestic and international travel, including itineraries and accommodations.
- Prepare and submit expense reports accurately and on time.
- Generate reports using internal and external information systems.
- Develop expertise in CorpAxe and support Corporate Access-related activities.
- Help ensure Executive Assistants across the firm are trained on Corporate Access tools.
- Provide cross-coverage and backup support for other Executive Assistants and leadership teams.
- Support ad hoc projects across the immediate team and broader organization.
- Take accurate meeting notes and document key discussions.
- Build strong working relationships across the organization to support collaboration and problem-solving.
